EquipLog stores your equipment and service records on your own device. When you sign in and sync, your organization’s records and attachments are also stored privately in the cloud. We do not use advertising or analytics services, and we do not sell your data.
Everything you enter — unit details, service history, filters, inventory, reminders, and any photos, videos, or documents you attach — is saved locally on your device. Records are kept in a SQLite database, and attachment files in private app storage (browser storage in the web version). Signing in enables cloud sync; otherwise data stays on your device unless you export it.
The Organization page lets you download a JSON backup, and reports let you export a CSV or PDF. Those files are created on your device and saved wherever you choose (your downloads folder, a cloud drive you manage, etc.). We have no access to files you export or import — that transfer is entirely between you and your own device or storage.
Service reminders are scheduled and delivered locally by your device’s operating system. No reminder content is sent to us or to any third party.
The app asks for the camera or photo library only when you choose to attach a picture or read a serial or identification number. Reading text and barcodes from a picture happens on your device; the picture is not sent anywhere unless you attach it to a record that you sync.
Printable QR labels encode a link back to a unit’s record. Generating and printing a label happens entirely on your device and does not transmit any data to us.
EquipLog works fully offline with no account required — your records stay only on your device unless you choose to sync. If you create an account, we use your email address and password to sign you in and to identify who created or changed a record. Signing in lets you sync your units, service records, and inventory to your organization’s private cloud database, and upload attached photos, videos, and documents to private cloud storage, so your crew can share records and reach them from more than one device.
You choose who else can see that data by inviting them from the Organization page, and each person you invite is given a role — admin, member, or viewer — that controls what they can see and change. Synced data is protected by access rules that only let members of your organization read or write that organization’s records, and we do not sell, share, or use it for advertising.
Signed-in users can optionally save a first name, last name, phone number, and profile picture to their account. Profile changes require an internet connection. Profile pictures are stored in private cloud storage accessible only to that account.
Cloud backup and team sync are offered with a paid plan for an organization. Payments are processed by Stripe. We do not receive or store your full card number. We keep the information needed to run your plan: which plan an organization has, its status and renewal or trial dates, and the identifiers Stripe gives us for your billing account. Stripe’s own privacy policy covers how Stripe handles payment details.
We use your account email to send messages about your account and billing, such as password resets, receipts, payment problems, and reminders before a trial ends.
We use a small number of providers to run the service: Supabase for sign-in, the cloud database, and file storage; Stripe for payments; and Cloudflare to deliver our website. They process data only to provide those services to us. Our website does not use advertising or analytics cookies.
Within an organization, members see what their role allows. Our administrators can see account and billing details, such as organization names, member emails, plan status, and storage used, so we can provide support and billing. We do not look through your service records except when you ask for help, when needed to keep the service secure, or when the law requires it.
The Android and iOS apps request network (internet) access to support the optional cloud sync feature described above. If you never create an account, this permission goes unused and no data leaves your device. The app reads and writes files only inside its own private app storage to save attachments and backups you create.
EquipLog is intended for general business and personal use in managing equipment and service records, and is not directed at children under 13.
Your records remain on your device until you delete them in the app or uninstall the app. Uninstalling the app removes its local database and any attachments stored by the app, in line with normal operating-system behavior.
You can permanently delete your cloud account from the Account page while online. This removes your sign-in, profile, profile pictures, and organization memberships. Transfer ownership of organizations with records or invitations to another registered member first. Empty, unshared organizations are removed with your account. Shared organization records and attachments remain for other members, with references to your account cleared. Deleting your cloud account does not erase records, files, or exports already saved on your devices. Deleted data may remain in our providers’ backups for a limited time.
If a paid plan ends or a payment fails, your organization’s cloud sync turns read-only after a grace period. You can still view and export your records. We do not delete your cloud records simply because a plan ended. If we ever decide to remove cloud data from long-inactive, unpaid organizations, we will give notice by email first.
You can ask us for a copy of your account information, to correct it, or to delete it by writing to [email protected]. You can also delete your cloud account yourself from the Account page. Depending on where you live, you may have additional rights under local privacy law; we will honor valid requests.
If this policy changes, we will update the “Last updated” date above and make the revised policy available in the app and wherever the app is distributed.
